# Add and manage firm users

Add each person in your firm here rather than letting them register, which would create a separate firm. There's no limit on how many users you can add.

**In Seamlss:** **Settings**, **Users**.

[Open Users](https://seamlss.app/Dashboard/Settings#users)

## Add a user

1. Select Add User
Go to [**Settings**, **Users**](https://seamlss.app/Dashboard/Settings#users) and select **Add User**.
2. Enter their details
Name, email, mobile and a password. The password needs at least 6 characters, with an uppercase letter, a number and a special character.
   ![The Add User form](https://seamlss.com.au/wp-content/uploads/2026/10/seamlss-add-user-modal.png)
3. Choose their role
**Admin** can do everything, including templates, integrations and settings. **Staff Member** can manage clients and their own account. Most of your team are Staff Members.
4. Add any extra roles
**Partner** marks them as a partner, which is who the Partners tick on a notification reaches. **Restricted User** hides Tax File Numbers and identity verification files, and lets them archive clients but not delete them.
5. Set notifications and security, then save
**Receive notifications** turns their notifications on. **Send notifications to someone else** redirects them, for example to an assistant. **Require secure login** makes them use an authenticator app or Sign in with Xero. 2FA is an ATO requirement for anyone handling sensitive client data.

**Want it for the whole firm?** Turn on **Enforce Secure logins** at the top of the Users tab instead of ticking Require secure login for each person. Everyone then needs an authenticator app or Sign in with Xero.

## Manage a user

Select the three dots at the end of a user's row for **Add as Client/Contact**, **Edit**, **Disable** and **Delete**. A disabled user shows as **Inactive**, and the same menu offers **Re-enable**.

**Someone has left?** Disable rather than delete. Their name stays on what they did, such as verifications and the audit history, so the record still reads clearly.

A star marks the organisation owner, who has the Partner role by default. [Add yourself as a client](https://seamlss.com.au/help/add-yourself-as-a-client/) explains Add as Client/Contact.

## Something not working?

A user can't see a client's TFN or ID documents

They're a Restricted User. Edit their user and untick Restricted User if they need access.

A user can't delete a client

Restricted users can archive clients but not delete them. Untick Restricted User if they should.

A user isn't getting notifications

Edit their user and check **Receive notifications** is ticked, and that **Send notifications to someone else** isn't diverting them. See [When notifications don’t arrive](https://seamlss.com.au/help/setting-up-email-notifications/).

2FA Status is empty

They haven't set up an authenticator yet. Tick **Require secure login**, or turn on Enforce Secure logins, and they're asked at their next login.

That created a separate firm. Contact support and we'll move them across, then add them here.

Still stuck? [Contact support](https://seamlss.com.au/support/) and tell us what you see.
